How to Write a Thank You Email After an Interview (With Examples)

Most candidates skip the thank you email, or send something so generic it leaves no impression. A well-written one can genuinely tip a close decision โ hiring managers notice when you reference something specific from the conversation, and they notice when you don't.
The rules
- Send within 24 hours. Same day is better. The conversation is freshest for both of you.
- Reference something specific. A topic you discussed, a problem they mentioned, a moment that stood out. Generic notes are immediately recognizable โ and forgettable.
- One paragraph per recipient. Don't send the same note to everyone. Personalize for the recruiter, hiring manager, and any team members separately.
- Reaffirm your fit. One sentence connecting your background to what they actually need. Not a resume recap โ a targeted reminder.
- Keep it short. 150โ250 words. They're reading this between meetings.

Common mistakes
- Sending the same email to everyone. They compare notes. You will be caught.
- Being overly formal with a team member. Match the energy of the conversation you had.
- Restating your entire resume. They have it. One targeted reminder is enough.
- Waiting too long. 48 hours is pushing it. Beyond that, it looks like an afterthought.
- Misspelling their name. Check the email signature or LinkedIn. This one is unforgivable.
